The Lax Kw’alaams Band has an immediate opening for an Operations Manager.
The Operations Manager is a member of the Senior Administration and Management Team and has the overall responsibility for Effective Operations of the Band Office, Information Management and IT, and Financial Management. The Lax Kw’alaams Band’s administrative offices are in Lax Kw’alaams and this position is based on site.
Duties/Responsibilities:
- Information Management and IT
Ensure that the information systems are efficient and serve the needs of the entire Band. Acts as the Lead on the protection of privacy, ensures the effective storage of personal and confidential information. Ensure that the Band’s information technology systems (IT) and infrastructure operate effectively.
- The IT infrastructure (phone system, hardware, software) is functioning well, and meeting end-user needs
- There is a competent IT service Provider to manage end user issues and hardware
- The IT resources are documented (equipment capacity and age, assignments etc.)
- Network back up and clean up mechanisms are in place and completed according to schedule.
- IT updates are planned and executed within budget and time limitation.
- Electronic document storage is in place and access is assigned and maintained for end users.
- Accounting Management
Manage the accounting functions of the Band and ensures the integrity of financial information and reporting.
• Supervise the accounting team and ensure that deadlines are met for timely and accurate Financial Reporting.
• Ensure that controls are implemented to detect and prevent errors and fraud.
• Ensure that all corporate data including accounting information is accurately maintained, accessible and current.
• Monthly internal financial statements are provided to the CFO, CAO, Management and Council.
• Work with the CFO, and Program directors/Department heads to develop annual budgets.
• Monitor budget variances and, in consultation with the Department heads, makes recommendations for resolutions. - Contract Management
In consultation with the CFO and Program Leads, oversee the administration of funding contracts.
• Ensures contractual obligations are met and legal requirements are adhered to.
• Assist in applying for funding.
• Processes cash flows, claim forms and other requirements from funders. - Asset Management
Work with the CFO and the Infrastructure and Housing Directors and Asset Management Coordinator to ensure that all assets are recorded and properly maintained.
• Verify that buildings are properly maintained,
• Oversee insurance renewals, additions, claims and enquiries.
• Ensure all assets are adequately insured.
• Audit the approved driver log and up-to-date vehicle information. - Procurement and Logistics
Oversees the Office Custodian, Receptionist and Sales steward to ensure that the band office is:
• Adequately stocked with office, janitorial and coffee supplies
• Cash from sales is seamlessly recorded in the General Ledger system. - Other duties as requested.
Qualifications:
• Bachelor’s degree in a business-related area and/or professional qualification in business, IT or management.
• A combination of education/experience in the field of business administration, management, finance, asset management or other relative discipline.
• Minimum 3 years progressively responsible experience, and at least two years management /supervisory experience.
• Great written and verbal communications skills.
• Great technical skills including Microsoft Excel, Word, and relevant administrative software.
• A great attitude, a strong work ethic and strong commitment to confidentiality.
• Reliable vehicle and a driver’s license.
• Ability to demonstrate a commitment to embodying a healthy lifestyle.
• The successful candidate will be asked to provide a current Criminal Record Check.
Compensation & Benefits
• A competitive salary $ 75,000 – $ 83,000, commensurate with experience and qualifications is offered.
