Reporting to: School Principal

The Coast Tsimshian Academy has an opening for a part-time Secretary. Reporting to the School Principal, the successful candidate is responsible for performing an array of administrative duties, including secretarial and receptionist duties.  He/she will monitor and ensure that all established administrative and operational processes and control standards are followed as it pertains to this position, contributing to the effective and efficient operation of the reception area.

Duties and Responsibilities will include but not be limited to:

  • Serve as the school contact for all visitors (in-person, telephone, and email).
  • Perform clerical duties such as answering the telephone (redirect as necessary), filing, data entry, word processing, spreadsheet preparation, and maintaining filing and record systems.
  • Maintain a professional image and demeanour with all employees, students, and visitors at all times.
  • Order, maintain office and miscellaneous supplies and distribute supplies accordingly.
  • Receive and send mails as needed; order and maintain necessary pre-printed materials.
  • Maintain a high level of confidentiality in all interactions.
  • Assist (as requested) other staff members in meeting deadlines for various tasks and projects as required.
  • Make travel arrangements as requested.
  • Perform other tasks within the scope of the position.

Education, Experience and Knowledge:

  • Minimum of Grade 12.
  • A diploma or certificate in Business Administration is preferred.
  • At least 2 years’ experience in an administrative support function in the same field or related.
  • Familiar with a computerized environment.
  • Must be neat in appearance, with outgoing, friendly and cooperative personality.
  • Ability to work under pressure and in a fast-paced environment.
  • Pleasant telephone manner and ability to maintain a professional attitude.
  • Knowledge of Tsimshian Culture would be a benefit.
  • Highly motivated and able to work independently. Must be able to schedule and prioritize work.
  • Strong communication and problem-solving skills; strong attention to detail.
  • Proven record of professionalism, punctuality, flexibility, dependability, and reliability.
  • Ability to demonstrate a commitment to embodying a personal addiction-free lifestyle.
  • Valid Drivers License would be beneficial.
  • Able to deal with people sensitivity, tactfully, diplomatically, and professionally at all times.
  • The successful candidate must be fully COVID vaccinated and remain in full compliance with all public health orders and Band policies throughout their employment.

Compensation & Benefits

  • Wages will be $23.80 per hour.
  • This is a Bargaining Unit position and is open to all gender.
